Whether you’re just getting started or refining what you’ve already built, this post is your go-to guide for the essentials: startup finances, building smart systems, hiring at the right time, and the best tools to keep your business running like a well-oiled machine.

This isn’t your average business blog. I’m bringing you behind the scenes of my coaching business, Journey to Influence and giving you practical, real-world tips from both my own entrepreneurial journey and my work with small business clients.

1. Financial Foundations: What You Need to Start Your Business

Before you make your first dollar, you’ll likely  spend  a few. And if you’re anything like I was when I started, you might be wondering: What  should  I spend money on?

Here’s what you actually need to launch:

Before I launch into this list I want to tell you that you may not need ANYTHING to launch. What if you just started offering your service to friends/family and beta tested all the things? Start here.

This next list is the NEXT level of what you need. But you don’t likely need them to test the market and get yourself started.

  • Legal & Admin: business license, LLC filing, business insurance (your local SBDC or SCORE chapter is a great resource to guide this)
  • Brand Basics: logo, domain name, website hosting (start simple)
  • Tech Tools: scheduling, contracts, CRM (more below)
  • Marketing: brand photos, Canva Pro, social media account
  • Professionals: bookkeeper, CPA, or business coach – you don’t need these to start, but you may want to incorporate in the first year or so of your business.

Want a number? It really depends on your business. Are you going to have a store front? Work from home? Product or service based?

Journey to Influence started with an investment from our family savings of ~ $4,000. That was primarily education and coaching for myself, LLC filing, website domain, and some basic tech. 

My graphic designer husband did my logo and helped set up my website for free. He even took my first brand photos. Get creative – barter services, find a friend, and figure it out.

Should You Take a Loan or Bootstrap It?

Bootstrapping builds creativity and discipline. But sometimes a loan makes sense — especially if it frees up time and earns ROI fast. That said, I’d rather you borrow from yourself, versus a bank loan or credit card.

Priorities with Loan to Self

  •   Buying equipment to deliver paid services (like a camera or laptop if you don’t have one)
  •   Launching a product with strong pre-sales (key words – strong pre-sales!)

Less Ideal Reasons

  •   Paying yourself too early
  •   Fancy website before you’ve made a sale
  •   Defaulting to debt because it “feels like what businesses do”

Start with a lean mindset, even if you have resources. Honestly, a lean mindset can serve you throughout the size or start of your business.

2. The Essential Financial Systems Every Business Needs

You don’t need to be a CPA. But you do need a system.

✅ Set Up These Basics ASAP

  •     Separate bank accounts (this is non-negotiable!)
  •     Bookkeeping software like Xero or QuickBooks
  •     Google Sheet or Notion template to track monthly income/expenses
  •     Receipt management system (I started with just a photo folder on my phone and snapped pics)
  •     Regular money dates to review profit/loss and plan cash flow

 📊 Zero-Based Budgeting for Business

Take what you know from your personal money habits and apply it here:

  •     Pay yourself intentionally (even if it’s small at first)
  •     Save for taxes monthly (set aside 5-30%, your CPA should give you a good idea based on your situation)
  •     Plan for growth by setting aside money to reinvest

3. When and How to Hire: Are You Financially Ready?

Hiring is exciting. It means you’re growing! But it also means you’re financially responsible for someone else, proceed with discernment and consider contractors when appropriate.

       👥 How to Know You’re Ready

  • You’ve consistently made revenue per month that pays yourself, your expenses, and sets aside savings for at least 3 months. Wish I could give you a number, but that number is going to vary based on your expenses and salary needs.
  • You’re maxed out on time and turning down work.
  • You have processes that someone else could take over.

       🤑 What to Consider Financially

  • Payroll taxes (use Gusto to estimate
  • Workers’ comp & insurance if W-2
  • Equipment or software for the new hire
  • Training/onboarding time (which costs you too)
  • Start with a VA or contractor and build from there.

4. Business Growth Strategies That Actually Work

You don’t need to go viral. You need to be consistent.

       🌟 Quarterly Goal Setting

Each quarter, set 1-2 clear goals. For example:

  • Increase client retention by 20%
  • Build a referral program
  • Launch a new service or lead magnet

Goal getting is pretty much the outcome of all of my clients – and exactly what we accomplish! From increased revenue to streamlined operations. Check out these posts all about goals.

💼 Reinvest Wisely

Ask yourself:

  – Will this tool or service help me serve better or faster?

  – Will it save me time (and time = money)?

  – Is this a smart next step or a shiny object? Avoid shiny! Choose smart!

Invest in:

  • Filling the gaps of your confidence – maybe it’s social media or email marketing or…fill in the blank, close gaps for yourself
  • Coaching or mentorship
  • Automation tools (back to time saving!)
  • Avoid over-investing in courses you don’t complete or tools you never use.

       📊 Track These KPIs

You can’t grow what you don’t measure. Watch metrics like:

  1.   Revenue per client, per offer or per product
  2.   Conversion rate
  3.   Lead source success (where are your best clients coming from?)
  4.   Retention & referral rates

5. Tools & Systems I Actually Use in My Business

My Instagram account is far from big – but it’s not small! Consistent content creation has been part of my strategy from day one. BUT not being a primary content creator – it’s important that it doesn’t consume too much of my time.
